Palmer Hamilton Limited Warranty Summary

D&D Learning Spaces is an authorized Palmer Hamilton dealer. Palmer Hamilton provides limited warranty protection for its cafeteria tables, multipurpose tables, seating, booths, outdoor furniture, cabinetry, shelving, serving-line equipment, esports furniture and other commercial products.

Warranty periods vary significantly by product family and component. Coverage ranges from one year to 15 years, with separate terms for structural parts, outdoor finishes, upholstery, electrical systems, moving parts and vendor-supplied components.

What Does Palmer Hamilton’s Limited Warranty Mean?

Palmer Hamilton warrants that its products will be free from defects in their original materials and workmanship for the applicable warranty period.

For customers, this means that Palmer Hamilton may repair or replace a covered product or component if it fails because of a qualifying manufacturing or material defect during the stated warranty period.

Warranty coverage begins on the product’s:

  • Original shipment date; or
  • Substantial-completion date, when applicable

Palmer Hamilton determines whether a reported condition qualifies for warranty coverage and may, at its discretion, repair or replace the defective product or component.

Any repair or replacement must be approved in advance by Palmer Hamilton before work is performed or expenses are incurred.

A limited warranty does not mean every portion of a product is covered for the same period. A table frame, tabletop, caster, electrical component, fabric and finish may each carry a different warranty term.

Who Is Covered?

Palmer Hamilton’s warranty applies to products purchased for their intended commercial application and used according to the manufacturer’s guidelines.

Customers should retain:

  • The original D&D Learning Spaces invoice
  • The purchase-order number
  • The product model or item number
  • The original shipment or installation date
  • Product labels and serial numbers, when applicable

The published warranty does not expressly provide transferable coverage to a later owner. Customers acquiring used or transferred furniture should therefore not assume that the original warranty remains in effect.

What Is Covered?

Palmer Hamilton’s warranty generally covers qualifying defects in:

  • Original materials
  • Manufacturing
  • Workmanship
  • Structural frames
  • Product components specifically listed in the applicable warranty category
  • Finishes and mechanisms where a separate warranty is stated

Coverage applies only when the product is:

  • Used for its intended application
  • Operated within its stated usage limits
  • Properly installed
  • Properly maintained
  • Used in a suitable indoor or outdoor environment
  • Not altered or repaired by unauthorized persons

When Palmer Hamilton approves a claim, it may choose to:

  • Repair the defective product
  • Repair the defective component
  • Replace the defective product
  • Replace the defective component

Palmer Hamilton determines the appropriate remedy. All repairs and replacements require advance factory approval.

What Is Not Covered?

Palmer Hamilton’s warranty does not cover damage or failure caused by:

  • Normal wear and tear
  • Misuse
  • Abuse
  • Vandalism
  • Neglect
  • Accidents
  • Improper application
  • Unauthorized modifications
  • Unauthorized repairs
  • Lack of proper care
  • Use of unapproved cleaners
  • Transportation damage occurring after delivery
  • Environmental exposure beyond the product’s intended use
  • Acts of nature
  • Incidental or consequential damages

Normal wear may include minor scratches, dents, finish changes and deterioration expected through ordinary commercial use.

Wear items such as leg glides, foot glides, bumpers, threaded leveling glides and end caps are also excluded unless Palmer Hamilton specifically provides a separate warranty for the component.

Warranty periods begin on the original shipment date or substantial-completion date, as applicable. Coverage remains subject to the intended-use environment, maintenance requirements, product-specific limitations and Palmer Hamilton’s complete warranty terms.

Normal Commercial Use

Palmer Hamilton’s warranty periods are based on an intended-use schedule of:

  • Eight hours per day
  • Forty hours per week

Products used for longer daily periods, multiple shifts or continuous service may experience wear beyond the conditions used to establish the standard warranty.

RESPAWN seating additionally has a stated maximum user weight of 275 pounds under its normal commercial-use classification.

Indoor, Outdoor and Extreme-Environment Requirements

Palmer Hamilton distinguishes between indoor furniture, outdoor furniture and use in extreme environments.

Indoor Furniture

Indoor furniture is intended for:

  • Temperature-controlled environments
  • Humidity-controlled environments
  • Protection from direct exposure to outdoor elements

Using indoor furniture outdoors or in uncontrolled environmental conditions may void warranty coverage.

Outdoor Furniture

Outdoor furniture is designed to withstand normal exposure to:

  • Sun
  • Rain
  • Humidity

Outdoor design does not mean that the furniture is protected against every climate, weather event or environmental condition.

Extreme Environments

Palmer Hamilton defines extreme environments as conditions that exceed standard indoor use and may exceed normal outdoor-use conditions.

Examples include:

  • Prolonged direct sunlight or UV exposure
  • Sustained humidity above 90%
  • Water pooling
  • Saltwater or salt-laden coastal air
  • Placement near pools or hot tubs
  • Chlorine or chemical exposure
  • Temperatures below 5°F
  • Temperatures above 113°F
  • Winter or severe-weather storage without protective covers

Claims involving extreme environments are reviewed individually. The customer is responsible for determining whether the selected furniture is appropriate for its intended location.

Outdoor Furniture Maintenance Requirements

To remain eligible for warranty coverage, outdoor furniture must be:

  • Cleaned regularly
  • Protected using Palmer Hamilton’s recommended maintenance practices
  • Covered or stored during prolonged non-use
  • Covered or stored during extreme weather
  • Positioned to permit proper air circulation
  • Positioned to allow drainage
  • Protected from standing or pooling water

Failure to follow these maintenance requirements may result in a warranty claim being denied.

Environmental Damage That Is Not Covered

Palmer Hamilton does not cover damage resulting from:

  • Fading caused by improper or excessive exposure
  • Warping
  • Cracking
  • Corrosion
  • Mold or mildew
  • Salt or mineral buildup
  • Swelling
  • Delamination
  • Water penetration
  • Standing water
  • Pooling or submersion
  • Rust
  • Finish breakdown
  • Unventilated storage
  • High humidity
  • Temperature fluctuations
  • Chemical exposure
  • Pollutant exposure
  • High winds
  • Snow loads
  • Hail
  • Severe weather events

Outdoor furniture must still be properly selected, maintained and protected according to its location and environmental exposure.

Upholstery and Customer-Supplied Materials

For many Palmer Hamilton seating products, upholstered fabric is covered only by the original textile manufacturer’s warranty.

This applies to products including:

  • Chariot booths
  • Encore chairs
  • Daisy seating
  • Hive seating
  • Lenoir seating
  • Tahoe seating
  • Spree seating

Palmer Hamilton does not warrant:

  • Customer’s Own Material, or COM
  • Customer’s Own Leather, or COL

Claims involving standard upholstery may be subject to the fabric manufacturer’s separate terms, limitations and claim procedures.

Vendor-Supplied Components

Some Palmer Hamilton products incorporate components produced by independent manufacturers.

These components may carry:

  • A shorter warranty period
  • Different exclusions
  • Different claim procedures
  • More limited remedies

The original vendor’s warranty may take precedence over Palmer Hamilton’s general product warranty for that component. Claims are reviewed individually.

Freight and Transportation Damage

Damage caused during transportation after delivery is not covered by Palmer Hamilton’s standard product warranty.

Customers should inspect shipments promptly and retain:

  • Shipping cartons
  • Packaging
  • Shipping labels
  • Delivery receipts
  • Photographs of packaging damage
  • Photographs of concealed product damage

Freight damage should be reported to D&D Learning Spaces promptly so the appropriate carrier or delivery claim can be initiated.

What Will Palmer Hamilton Do for an Approved Claim?

If Palmer Hamilton determines that a product or component qualifies under the applicable warranty, the company may, at its discretion:

  • Repair the defect
  • Replace the defective component
  • Replace the defective product

Palmer Hamilton determines the appropriate remedy.

No repair, replacement or related expense should be authorized until Palmer Hamilton has reviewed and approved the proposed action.

Warranty Authorization Requirements

Factory approval is required before any warranty repair or replacement is performed.

Customers should not:

  • Arrange unauthorized repairs
  • Modify the product
  • Order replacement parts independently
  • Dispose of the affected product
  • Incur service or labor expenses before approval

Unauthorized repairs or modifications may void the product’s warranty.
