OM Seating Limited Warranty Summary

D&D Learning Spaces is an authorized OM Seating dealer. Office Master, Inc., commonly known as OM Seating, provides limited warranty protection for its commercial seating, with coverage periods ranging from five years to a lifetime depending on the chair series, component and intended use classification.

 

What Does OM Seating’s Limited Warranty Mean?

OM Seating warrants to the original purchaser that its products will be free from defects in materials and workmanship for the applicable warranty period.

For customers, this means that OM Seating may repair or replace a covered chair or component if it fails because of a qualifying material or manufacturing defect during normal commercial use.

OM Seating defines normal commercial use as:

  • One eight-hour work shift per day
  • Five days per week
  • A maximum of 40 hours of use per week

Unless OM Seating specifies a different capacity for a particular model, its chairs have a standard maximum user weight of 275 pounds.

The warranty applies to the original purchaser. OM Seating’s published warranty does not state that coverage transfers to a subsequent owner, so customers should retain their original proof of purchase and product identification information.

A limited warranty does not mean that every portion of the chair is covered for the same length of time. Structural components may be covered for seven years, 12 years or for the product’s lifetime, while upholstery, foam, casters and other consumable components carry shorter five-year warranties.

 

What Is Covered?

Within the warranty period assigned to the chair model, OM Seating covers qualifying defects in structural components, including:

  • Chair frames
  • Chair bases
  • Gas cylinders
  • Control handles
  • Wood components
  • Metal components
  • Plastic structural components

These components are warranted against structural failure when the chair is used under normal commercial conditions and within its stated weight capacity.

When OM Seating determines that a product or component qualifies for warranty coverage, it may, at its sole discretion:

  • Repair the defective component
  • Replace the defective component
  • Replace the chair or component with a comparable product or part

OM Seating determines whether repair or replacement is appropriate after reviewing the claim and supporting documentation.

 

What Is Not Covered?

OM Seating’s warranty does not cover damage or product failure caused by:

  • Abuse
  • Misuse
  • Neglect
  • Alteration or modification
  • Improper use
  • Shipment damage
  • Improper storage
  • Accidents
  • Fire
  • Flood
  • Natural disasters or other acts of God
  • Use beyond the chair’s stated weight capacity
  • Use beyond the applicable commercial-use rating
  • Normal upholstery wear
  • Field labor or on-site service costs

Damage caused by these conditions is not considered a defect in the chair’s original materials or workmanship.

Product-Specific Warranty Periods

OM Seating assigns different structural warranty periods based on the product series and the chair’s intended level of use.

OM5, Truly and Ginny Series — Lifetime Limited Warranty

The following OM Seating product families are covered by a lifetime limited warranty on structural components:

  • OM5 Series
  • OM5 Active sub-series
  • Truly. Series
  • Ginny

The lifetime limited warranty applies to qualifying structural failures occurring during normal commercial use.

Covered structural components include chair frames, bases, gas cylinders, control handles and applicable wood, metal and plastic parts. Consumable items, upholstery and foam remain subject to their own shorter warranty periods.

A lifetime limited warranty does not mean that the entire chair is protected indefinitely. It applies specifically to covered structural components and remains subject to OM Seating’s usage requirements, exclusions and claim procedures.

 

Standard OM Seating Models — 12-Year Limited Warranty

Unless otherwise specified, OM Seating models that are not classified as budget, 24/7, heavy-duty or bariatric seating carry a 12-year limited warranty on structural components.

This coverage applies to qualifying structural failures during normal commercial use, defined as one eight-hour shift per day, five days per week.

The 12-year warranty generally includes:

  • Structural chair frames
  • Bases
  • Gas cylinders
  • Control handles
  • Structural wood parts
  • Structural metal parts
  • Structural plastic parts

Upholstery, foam, casters, glides and other consumable components have separate five-year warranty periods.

 

Budget, 24/7, Heavy-Duty and Bariatric Models — Seven-Year Limited Warranty

OM Seating models classified as budget, 24/7, heavy-duty or bariatric seating carry a seven-year limited warranty on structural components, unless a different term is specifically stated.

OM Seating identifies the following budget series:

  • BC
  • SG
  • ST
  • WS

OM Seating identifies the following bariatric models:

  • GY4B-26
  • GY4B-30

Models designed for 24-hour or heavy-duty applications are also placed under the seven-year structural warranty unless OM Seating specifies otherwise.

Although these chairs may be designed for specialized or intensive-use environments, customers must still follow the individual model’s weight capacity and use instructions.

 

Casters, Glides and Consumable Components — Five-Year Warranty

Consumable components are covered for five years under normal commercial use.

Examples include:

  • Casters
  • Glides
  • Similar replaceable wear components

These parts naturally experience more frequent wear than the structural chair frame. The five-year warranty applies to qualifying defects in materials or workmanship and does not guarantee against all deterioration caused by ordinary use.

 

In-Stock Upholstery and Foam Cushions — Five-Year Warranty

OM Seating’s in-stock upholstery materials and foam cushions are covered by a five-year warranty under normal commercial use.

This coverage includes qualifying defects in:

  • OM Seating in-stock fabrics
  • Upholstery supplied through OM Seating
  • Foam seat cushions
  • Foam back cushions
  • Truly. Series Jackets
  • Truly. Series Wraps

Normal wear and tear is not covered.

Examples of excluded upholstery conditions include:

  • Wrinkling
  • Dirt accumulation
  • Fabric gathering
  • Ordinary surface wear
  • Normal changes resulting from repeated use

Minor natural differences in upholstery color, surface appearance, grain or texture are also not considered warrantable defects.

 

COM, COL and Graded-In Fabrics — Not Covered

The following customer-selected or third-party upholstery materials are not covered under OM Seating’s warranty:

  • Customer’s Own Material, or COM
  • Customer’s Own Leather, or COL
  • Graded-in fabrics

Because these materials are supplied by the customer or another textile manufacturer, warranty questions involving the upholstery material itself may need to be addressed with the original fabric or leather supplier.

The OM Seating chair structure may remain covered under the applicable structural warranty even when the customer-supplied upholstery is excluded.

Warranty coverage is based on normal commercial use and remains subject to the individual chair’s weight capacity, intended application and OM Seating’s complete warranty terms.

Normal Commercial Use and Weight Capacity

OM Seating defines normal commercial use as a single work shift consisting of:

  • Eight hours per day
  • Five days per week
  • No more than 40 hours per week

The standard OM Seating chair is designed for users weighing 275 pounds or less, unless a different weight capacity is expressly stated for the model.

Some heavy-duty, intensive-use and bariatric models are designed for different weight limits or operating schedules. Customers should review the specifications for the exact chair model rather than assuming that every OM Seating chair has the same capacity.

Using a chair beyond its stated weight capacity or intended operating schedule may affect warranty coverage and create a safety risk.

Upholstery Wear and Natural Material Variations

OM Seating’s fabric and foam warranty covers manufacturing and material defects, but it does not cover ordinary changes caused by use.

Excluded upholstery conditions include:

  • Wrinkling
  • Dirt accumulation
  • Fabric gathering
  • Normal surface wear
  • Changes caused by improper cleaning
  • Natural differences in color
  • Minor surface variations
  • Differences in grain or texture

Natural variations are considered normal characteristics of upholstery materials and are not treated as defects.

Customers should follow the cleaning and care instructions supplied for the particular fabric, vinyl or leather selected for the chair.

Proper Chair Use and Maintenance

OM Seating recommends regular inspection and maintenance to preserve chair performance and safety.

Customers should:

  • Periodically check bolts, screws and adjustment knobs
  • Tighten loose hardware when needed
  • Lubricate the gas cylinder every six months
  • Use only water or a mild detergent solution for general cleaning
  • Avoid prolonged exposure to direct sunlight
  • Use casters appropriate for the floor surface
  • Stop using a chair when parts are missing, broken, damaged or worn
  • Use only factory-authorized replacement parts

OM Seating recommends soft or rubber casters for hard flooring and concrete surfaces, and hard casters for carpeted floors.

A chair should not be used until damaged or missing components have been repaired with authorized parts.

Important Chair-Safety Guidelines

OM Seating also advises users to:

  • Sit only on the chair seat
  • Never sit on the arms or backrest
  • Never stand on the footring
  • Never use the chair as a stepladder
  • Use the chair for only one person at a time
  • Sit squarely in the chair
  • Use the chair only on a level floor
  • Avoid removing screws, knobs or structural hardware
  • Confirm that all bolts, screws and knobs are secure before use

Improper sitting or use can cause the chair to become unstable and may result in injury or product damage.

Freight and Delivery Damage

Damage caused during shipment is not covered by OM Seating’s standard product warranty.

OM Seating requires customers and dealers to inspect orders for damage or missing items within 10 days after receipt of the order for a claim to be approved and covered.

Customers should retain:

  • Shipping cartons
  • Packaging materials
  • Shipping labels
  • Delivery documents
  • Photographs of the damaged packaging
  • Photographs of the affected chair or component

Visible or concealed delivery damage should be reported to D&D Learning Spaces promptly so the appropriate freight or damage claim procedure can be followed.

What Will OM Seating Do for an Approved Claim?

If OM Seating determines that a product or component is defective under the applicable warranty, it may, at its sole discretion:

  • Repair the defective part
  • Replace the defective part
  • Provide a comparable replacement product or component

OM Seating determines the appropriate remedy after reviewing the claim information, photographs, proof of purchase and product identification.

When OM Seating requires a defective item to be returned, the item must be sent through the authorized dealer according to OM Seating’s return instructions.

Return Authorization Requirements

Written authorization from OM Seating is required before a dealer returns a failed or defective product or component.

Returned items will not be accepted without:

  • Prior written authorization from OM Seating
  • A Returned Materials Authorization number, commonly called an RMA number

Customers should not independently ship a chair or component to OM Seating without first working through D&D Learning Spaces and receiving the required authorization.

Warranty Labor and Service Costs

OM Seating’s warranty covers the repair or replacement of qualifying OM Seating parts as determined by the manufacturer.

The warranty does not cover:

  • Field labor
  • On-site repair services
  • Chair disassembly performed at the customer’s location
  • Chair reassembly performed at the customer’s location
  • Other local service expenses

Non-warranty shop work, labor or related services may be subject to separate charges.

Filing an OM Seating Warranty Claim Through D&D Learning Spaces

Customers who purchased OM Seating products through D&D Learning Spaces should contact us for assistance with a potential warranty claim.

Please be prepared to provide:

  • The original D&D Learning Spaces order or invoice number
  • The name of the purchasing school, district or organization
  • The OM Seating model number
  • The original purchase or delivery date
  • A detailed description of the problem
  • A photograph of the complete chair
  • Close-up photographs of the damaged or defective area
  • A clear photograph of the chair’s “born-on” label, located underneath the seat
  • Information about the chair’s use and operating schedule
  • The approximate weight of the user, when relevant to the claim
  • Photographs of the packaging when freight damage is involved

The born-on label contains product identification information that OM Seating uses to evaluate the chair’s manufacturing date, configuration and warranty eligibility. OM Seating specifically requires photographs of both the reported damage and the born-on label when reviewing a warranty claim.

If OM Seating determines that a return is necessary, the product or component and proof of purchase must be returned through the authorized dealer in accordance with OM Seating’s instructions.

D&D Learning Spaces can help organize the required documentation and coordinate the claim with OM Seating. Final decisions regarding warranty eligibility and the appropriate remedy are made by OM Seating under its published warranty terms.
