Kimball International Lifetime Warranty Summary
D&D Learning Spaces is an authorized dealer for Kimball International furniture. Kimball International provides warranty coverage across its family of commercial furniture brands, including Kimball, National, Etc., Interwoven and David Edward.
Most qualifying products are protected by a limited lifetime warranty for the original customer when used under normal single-shift commercial conditions. Certain products, materials and components carry separate warranty periods ranging from one year to 12 years.
What Does Kimball International’s Lifetime Warranty Mean?
Kimball International warrants that its products will be free from defects in materials and workmanship for as long as the original customer owns and uses the product, subject to the warranty’s conditions, limitations and product-specific exceptions.
For customers, this means that Kimball International may repair or replace a covered product, part or component if it fails because of a qualifying manufacturing or material defect during normal use.
The lifetime warranty applies only when the product:
- Remains owned and used by the original customer
- Receives proper care and maintenance
- Is installed according to the manufacturer’s instructions
- Is used according to the applicable product and application guidelines
- Is installed by an authorized dealer or authorized agent
- Is not modified, misused, abused or negligently maintained
Kimball International defines normal use as the equivalent of one 40-hour work shift per week. Products used in multiple shifts generally carry a 12-year warranty unless a different exception applies. Certain products may be specifically approved for three-shift, 24-hour use when that classification is shown in the applicable price list at the time the order is accepted.
A lifetime warranty does not mean that every material or moving component is covered indefinitely. Height-adjustable tables, mechanical components, electrical products, upholstery materials, outdoor furniture and other listed items have their own limited warranty periods.
Who Is Covered?
The warranty is provided to the original customer and remains valid for as long as that customer owns and uses the furniture.
The published warranty does not extend lifetime coverage to a subsequent owner. If the furniture is sold, donated or transferred, the new owner should not assume that the original lifetime warranty transfers with the product.
Customers should retain their original purchasing documentation, order information and product serial numbers in case warranty service is needed.
What Is Covered?
Kimball International’s warranty generally covers qualifying defects in:
- Original materials
- Product construction
- Manufacturing
- Workmanship
- Structural components
- Parts and components, unless a shorter warranty period applies
Coverage applies when the product is properly installed, maintained and used under the conditions for which it was designed.
When Kimball International determines that a claim qualifies under the warranty, the company may, at its option:
- Repair the defective product or component
- Replace the defective product, part or component
- Provide a comparable replacement product
When the original product has been discontinued, Kimball International may replace it with a comparable product from its current portfolio. Kimball International determines the appropriate replacement at its sole discretion.
What Is Not Covered?
Kimball International’s warranty does not cover damage, deterioration or product failure caused by:
- Freight or carrier damage
- Normal wear and tear
- Substitution of non-Kimball International components
- Customer modifications or alterations
- Unauthorized attachments
- Misuse
- Abuse
- Negligence
- Improper care
- Improper maintenance
- Failure to follow installation instructions
- Failure to follow application or maintenance guidelines
- Natural variations in materials
- Certain consumable products
- Customer-supplied materials
- Nonstandard materials selected by the customer
Damage caused by these conditions is not considered a defect in the product’s original materials or workmanship.
Product-Specific Warranty Periods
Although many Kimball International products are covered by the limited lifetime warranty, several products, parts and materials carry shorter coverage periods.
Unless otherwise stated, these limited warranty periods begin on the original date of purchase.
Most Qualifying Products — Lifetime Warranty
Most qualifying products from the Kimball International family of brands are covered for as long as the original customer owns and uses the furniture under normal single-shift commercial conditions.
Kimball International’s family of brands covered by the warranty includes:
- Kimball
- National
- Etc.
- Interwoven
- David Edward
The lifetime warranty applies to qualifying defects in materials and workmanship, subject to all stated exclusions and product-specific warranty periods.
Products Used in Multiple Shifts — 12-Year Warranty
Products used beyond a normal single-shift, 40-hour work week generally carry a 12-year warranty, unless another product-specific exception applies.
This means furniture used across multiple shifts does not ordinarily retain lifetime coverage.
Certain products may be approved for three-shift or 24/7 service. That approval must be shown in the applicable price list in effect when the order is accepted. Customers should not assume that a product is rated for continuous use unless its specifications expressly state that classification.
Height-Adjustable Tables — 12-Year Warranty
Height-adjustable tables carry a 12-year warranty.
This warranty applies to qualifying defects in the height-adjustable table and its covered original components. Electrical or mechanical parts incorporated into the table may also be subject to their applicable component-specific warranty terms.
Products must be properly installed, operated and maintained according to the manufacturer’s instructions.
Solid-Surface and EOSCU Products — 12-Year Warranty
Solid-surface materials and products identified by Kimball International as EOSCU carry a 12-year warranty.
Coverage applies to qualifying defects in the original material and workmanship. Normal scratching, surface wear, environmental damage or damage caused by improper care is not covered.
Wood Veneers and Laminates — 12-Year Warranty
Wood veneers and laminate materials carry a 12-year warranty against qualifying defects in materials and workmanship.
The warranty does not guarantee an exact match in color, grain or texture. Natural wood and manufactured surface materials can display normal variations that are not considered defects.
Wood Chair Frames and Legs — 12-Year Warranty
Wood chair frames and wood chair legs carry a 12-year warranty.
Coverage applies to qualifying structural or manufacturing defects under proper use. Damage caused by misuse, impact, overloading, alterations or improper maintenance is excluded.
Trendelenburg Mechanisms — 10-Year Warranty
Trendelenburg mechanisms carry a 10-year warranty.
These specialized mechanisms are commonly incorporated into healthcare or reclining seating products. Coverage applies to qualifying defects in the original mechanism under normal use and proper maintenance.
Central-Locking Caster Systems — 10-Year Warranty
Central-locking caster systems carry a 10-year warranty.
The warranty applies to qualifying defects in the central locking system. Ordinary caster wear, floor-related damage, improper use and inadequate maintenance are not covered.
Recliner Mechanisms — 10-Year Warranty
Recliner mechanisms carry a 10-year warranty.
This coverage applies specifically to the operating mechanism. Upholstery, foam and other chair components may carry separate warranty periods.
Mechanical Parts — 10-Year Warranty
Mechanical parts carry a 10-year warranty.
Examples listed by Kimball International include:

- Glides
- Drawer slides
- Moving chair arms
- Pneumatic lifts
- Door seals
Coverage applies to qualifying defects in materials and workmanship. Normal wear expected from the repeated operation of a moving component is not covered.
Etc. Products — Five-Year Warranty
Products sold under the Etc. brand generally carry a five-year warranty, except for Etc. outdoor products and Etc. Milam seating.
Etc. outdoor products and Milam seating have separate two-year warranties.
Electrical and Power Products — Five-Year Warranty
Electrical and power products carry a five-year warranty.
Coverage applies to qualifying defects in the original electrical or power component. Damage caused by improper installation, unauthorized modifications, electrical misuse or failure to follow the applicable instructions is excluded.
Certain electronic items classified as consumable may not be covered.
Inflatable Lumbar Supports — Five-Year Warranty
Inflatable lumbar-support components carry a five-year warranty.
The warranty applies to qualifying defects in the original lumbar-support system. Punctures, misuse, ordinary deterioration or damage caused after delivery may not qualify for coverage.
Lighting — Five-Year Warranty
Lighting products carry a five-year warranty.
Consumable lighting items, including bulbs and light ballasts, are excluded from warranty coverage where they are classified as consumable products.
Monitor Arms — Five-Year Warranty
Monitor arms carry a five-year warranty.
Coverage applies to qualifying defects in the original monitor-arm materials, construction or operating components. The arm must be installed and used within its stated monitor-size and weight limits.
Keyboard Kits — Five-Year Warranty
Keyboard kits carry a five-year warranty.
Damage caused by overloading, improper installation, unauthorized alterations or misuse is excluded.
Sinks and Faucets — Five-Year Warranty
Sinks and faucets supplied by Kimball International carry a five-year warranty.
Coverage applies to qualifying defects in the original supplied product. Improper plumbing installation, environmental conditions, mineral buildup, misuse and inadequate maintenance may affect coverage.
Keyless Locking Systems — Five-Year Warranty
Keyless locking systems carry a five-year warranty.
This coverage applies to qualifying defects in the supplied locking system. Batteries and other consumable electronic components may be excluded.
Covering Materials — Five-Year Warranty
Most covering materials carry a five-year warranty.
Examples include:
- Foam
- Most textiles
- 3D laminate
- Markerboard surfaces
- Decorative trim
The warranty covers qualifying defects in the original materials. Normal wear, fading, staining, discoloration, surface changes and damage caused by improper cleaning are excluded.
Wool Felt — Three-Year Warranty
Wool felt carries a three-year warranty.
Coverage applies to qualifying material or manufacturing defects. Ordinary wear, soiling, fading, discoloration and changes caused by environmental exposure or cleaning are not covered.
Mesh — Three-Year Warranty
Mesh materials carry a three-year warranty.
The warranty does not cover ordinary stretching, wear, punctures, cuts, fading or damage caused by misuse or improper care.
Etc. Outdoor Products — Two-Year Warranty
Etc. outdoor products carry a two-year warranty.
This warranty applies to qualifying defects in materials and workmanship under the product’s intended outdoor-use conditions. It does not guarantee against all weathering, fading, environmental deterioration or damage caused by improper placement and maintenance.
Etc. Milam Seating — Two-Year Warranty
Etc. Milam seating carries a two-year warranty.
Coverage applies to qualifying defects in the product’s original materials and workmanship. Components or upholstery supplied by another manufacturer may be subject to separate limitations.
Bean Bags and Poufs With EPS Fill — One-Year Warranty
Bean bags and poufs containing expanded polystyrene, or EPS, fill carry a one-year warranty.
The warranty applies to qualifying manufacturing and material defects. Normal settling, compression or redistribution of EPS filling through use is not necessarily considered a defect.

Warranty periods for listed exceptions run from the original purchase date. Coverage remains subject to the product’s intended application, proper installation, maintenance requirements and the complete warranty exclusions.
Normal Commercial Use and Multiple-Shift Use
Kimball International defines normal use as the equivalent of:
- One work shift per day
- A total of approximately 40 hours per week
Furniture used in more than one shift generally carries a 12-year warranty rather than lifetime coverage.
Some products may be specifically warranted for three-shift or continuous 24/7 service. That designation must appear in the applicable price list at the time the order is accepted.
Customers should confirm the usage classification of the specific product when furniture will be used in:
- Dispatch centers
- Security operations
- Healthcare environments
- Call centers
- Emergency-response facilities
- Other continuously occupied spaces
Using furniture beyond its stated duty classification may affect warranty eligibility.
Customer’s Own Materials and Nonstandard Materials
Kimball International does not warrant the appearance, durability, quality, performance, colorfastness or other characteristics of:
- Customer’s Own Material, commonly called COM
- Customer-supplied leather
- Other nonstandard materials specified by the customer
Because these materials are selected or supplied outside the manufacturer’s standard material program, any applicable warranty may need to be pursued through the original textile or material supplier.
The underlying Kimball International furniture structure may remain covered under its applicable warranty when a customer-supplied covering material is excluded.
Alliance Program Fabrics
Alliance Program fabrics are excluded from the Kimball International warranty.
Warranty questions involving these textiles may be governed by the textile manufacturer’s separate terms and should be reviewed individually.
Fabric, Leather and Felt Exclusions
Kimball International does not cover fabric, leather or felt conditions resulting from:
- Normal fading
- Normal wear
- Contact with liquids
- Staining or discoloration
- Changes in color or texture
- Application of flame-proofing treatments
- Application of stain-resistant finishes
- Industry dye-lot variations
These changes are considered material characteristics, normal wear or the result of external treatment rather than defects in Kimball International’s workmanship.
Natural Variations in Wood, Leather and Other Materials
Natural and manufactured materials can vary in appearance.
Kimball International does not consider the following to be warrantable defects:
- Natural differences in wood grain
- Variations in wood color
- Differences within or between wood species
- Natural variations in marble
- Natural variations in leather
- Variations in laminate color, grain or texture
- Dye-lot differences in fabric color
Each piece of natural wood has its own grain and texture. Minor variations in finish color and value may also occur because of the natural characteristics of the wood.
Aging and exposure to light may gradually alter the appearance of a wood finish. Kimball International selects materials to provide a commercially acceptable match, but it does not guarantee that every piece will be visually identical.
Fabric Color Matching
Kimball International states that it will provide a satisfactory commercial fabric match.
However, exact color matching cannot be guaranteed because fabric colors can vary between manufacturing dye lots. A reasonable dye-lot variation is not considered a warranty defect.
Consumable Products
Products considered consumable are excluded from the warranty.
Examples identified by Kimball International include:
- Light bulbs
- Light ballasts
- Certain electronic products
Consumable items are expected to require periodic replacement through normal use and are not treated as permanent structural furniture components.
Proper Installation, Use and Maintenance
Kimball International’s warranty is valid only when products are:
- Installed by an authorized dealer or agent
- Installed according to the manufacturer’s instructions
- Used according to the applicable application guidelines
- Properly cared for
- Regularly maintained
- Used for their intended purpose
The company assumes no responsibility for damage resulting from:
- User modifications
- Attachments added to the product
- Misuse
- Abuse
- Alteration
- Negligent use
- Improper care or maintenance
Customers should consult D&D Learning Spaces before making changes to a Kimball International product that could affect its structure, function or warranty coverage.
Product Inspection and Safety
Kimball International recommends that facility managers and users inspect furniture periodically for signs of:
- Structural fatigue
- Damage
- Loose components
- Potential failure
- Wear caused by daily handling and use
Inspections should include:
- Structural joints
- Corner blocks
- Screws and fasteners
- Welds
- Moving components
- Other high-stress points
If a potential safety or structural problem is found, the product should be taken out of service and Customer Service should be contacted promptly.
Freight and Carrier Damage
Damage caused by a freight carrier is not covered under Kimball International’s standard product warranty.
Customers should inspect all shipments promptly and retain:
- Shipping cartons
- Packaging materials
- Shipping labels
- Delivery receipts
- Photographs of visible packaging damage
- Photographs of concealed product damage
Freight damage should be reported to D&D Learning Spaces promptly so that the appropriate shipping claim procedures can be followed.
What Will Kimball International Do for an Approved Claim?
When Kimball International determines that a claim is eligible, the company may, at its option:
- Repair the product
- Replace the product
- Replace the defective part or component
- Provide a comparable replacement product
If the original product has been discontinued, Kimball International may provide a comparable product from its current portfolio. The company determines the appropriate remedy at its sole discretion.
All proposed claim resolutions must be reviewed and approved in advance by Kimball International Customer Service.
Possible approved resolutions may include:
- Replacement units
- Service parts
- Labor
- Repair charges
Unauthorized expenses or repairs are not the responsibility of Kimball International.
Warranty Authorization Requirements
Kimball International Customer Service must determine and preapprove the resolution of a warranty claim.
After approval, the claim resolution is assigned an authorization number. That authorization number must appear on all invoices submitted for reimbursement.
Charges incurred without advance authorization will not be reimbursed by Kimball International. Customers should therefore avoid arranging repairs, ordering replacement parts or authorizing outside labor before the warranty claim has been formally reviewed and approved.
Filing a Kimball International Warranty Claim Through D&D Learning Spaces
Customers who purchased Kimball International furniture through D&D Learning Spaces should contact us for assistance with a potential warranty claim.
Please be prepared to provide:
- The original D&D Learning Spaces order or invoice number
- The purchase-order or order-acknowledgement number
- The name of the purchasing school, district or organization
- The Kimball International brand
- The product model or item number
- The product’s serial number
- The original purchase date
- A detailed description of the issue
- A photograph of the complete product
- Close-up photographs of the damaged or defective area
- Photographs of the serial-number label
- Information about how the product was installed and used
- The product’s normal operating schedule
- Photographs of packaging when freight damage is involved
The product serial number is mandatory before Kimball International can process a warranty claim.
D&D Learning Spaces can help organize the required documentation and coordinate the claim with the appropriate Kimball International brand. Customers should not authorize repairs, replacement labor or other expenses until the proposed resolution has been approved and assigned an authorization number.
Final decisions regarding warranty eligibility and the appropriate remedy are made by Kimball International under its published warranty terms.
